Changing Your Event Photography Brief After Booking

From the client’s side, the request can sound small: one interview, a few portraits or a longer edit. From the production side, it may add a separate setup, new people to coordinate or another delivery deadline.

The direct answer

When the brief changes, state the new requirement and ask what it changes in crew, coverage, editing and delivery. Confirm the revised scope before the event where possible. A new reel, another room or same-day photographs may need more than simply extending the existing shot list.

01

Separate a clarification from an addition

Correcting a speaker’s name or sharing a more precise room location clarifies the brief. Adding a second programme, another location, a film or a new urgent deadline changes what the team is being asked to deliver.

Not every change needs a larger quote. The point is to assess it honestly. A new priority may replace something else, or it may require extra capacity.

From our editing conversations

A client may see a one-minute film and a ten-minute film as “one video” each. We need to explain the changed work clearly, without turning the conversation into a defensive itemisation of every internal cost.

02

Look for the hidden overlap

“A few leadership portraits” may happen while the conference continues. “A quick video interview” may need a quieter space, sound and a separate operator. “Some photographs during the event” may need an editor while the photographer keeps shooting.

Ask when the new requirement happens, what can be paused and which existing deliverable must remain unchanged. That makes a practical conversation possible.

03

Describe the finished asset

A 45-second reel, a two-minute highlight and a full programme recording are not interchangeable. Clarify format, length, audio, review rounds and delivery when you add video. Avoid agreeing only the word “video”.

For photographs, specify whether the request means more coverage, more selected images, different crops or detailed retouching. Those involve different kinds of work.

04

Use a short written change note

Record what is added or removed, the revised crew or hours if any, the final output and the updated combined estimate. Include the approver and deadline. A concise written note is often enough to stop several competing versions of the brief.

Keep that note with the final programme. The crew should not have to discover a new client promise from a forwarded message halfway through the event.

Questions worth asking

A few things to settle before the shoot.

Can we add deliverables after booking?

Ask early. The team can assess availability and explain any change to coverage, editing, schedule or the combined estimate.

Does every brief change cost extra?

No. Some are clarifications or substitutions. New work needs assessment; it should not be assumed free or automatically charged without discussion.

Can we add same-day delivery on the event morning?

Ask, but it may need an editor and approval plan that cannot be arranged at short notice.

What should a scope-change message include?

The changed requirement, timing, output, deadline and who can approve it. Then record the agreed response.

Can a longer video use only the footage already captured?

Sometimes, but footage review, story structure, graphics, sound and revisions can still increase editing work. Confirm what the existing material can support.
